You begin one form, search for a document and then discover another task needs a different page of the same record. Switching between searching and filling makes the session hard to follow.
Check the requirements for the tasks you intend to complete. Gather the relevant records in a temporary working folder or a labelled stack. Keep the originals where they belong, and avoid duplicating sensitive information more widely than necessary.
Mark what is missing
If a requirement is unclear, write the question beside the task and ask the relevant organisation before guessing. Complete the forms that have everything they need while you wait for an answer on the others.
After submission, store confirmations with the original task and remove temporary copies when appropriate. Record where each reusable document lives. The next session can start from that location instead of another search through downloads and email. Grouping the gathering step is most useful when the same records appear across several tasks; a simple form with one attachment may need no extra system.
